When a supplier calls a wristband documented, ask what the document covers. Most of the time it describes a material that was purchased, not the pieces you received — and the distinction is the entire value of the claim.

What a material document can and cannot say

A document about a material describes that material under stated conditions. It does not describe a finished wristband, which also contains an electronic module, a cord or strap, an adhesive and a finish — none of which the material document covers.

So the honest form of the claim names the component. The face is this material with this supporting documentation; the strap is this; the module is an electronic component covered by neither. Three sentences, each defensible, instead of one that is not.

Ask whether the document follows the run

The question that separates a real record from a marketing line is whether the documentation is tied to your production run or to the supplier’s product line. A product-line statement is an assertion about a category; a run-level declaration is evidence about the pieces in your store room.

We issue material declarations against the run for that reason. It also means that if you are asked a follow-up question a year later, you can answer it by naming the run rather than by repeating a phrase.

What to ask before accepting a documented claim:

  • Does the documentation reference my production run, or the product line?
  • Which component does it cover, and which components does it not?
  • Who issued it, and can it be produced on request afterwards?
  • Does the wording I intend to publish match the wording the document supports?

Certified material wording is not yours to expand

Where certified material options are used, the approved sentence is used exactly as written and nothing is added to it — no licence numbers, no percentages, no extension of the claim to other materials on the same page.

That is a discipline rather than a limitation. Certification schemes are specific about what may be said and by whom, and a property that expands the wording has taken on a risk that the certification never covered.

The physical questions matter more than the paperwork

A documented face that is unsealed at the edges will still swell, raise its grain and look tired in six weeks. Documentation says nothing about sealing, module depth, engraving quality or how the cord is finished — and those are what determine whether the credential is still presentable at the end of a season.

So run both conversations. Ask for the documentation, and separately ask for a sample and interrogate its edges, its aperture, its engraved recesses and its read distance at your own readers.

What to publish

Publish what you can evidence at run level and nothing beyond it. For most properties that is a short paragraph: the face material and its documentation, the strap material, an acknowledgement that the module is a separate electronic component, and a disposal description only if a route genuinely exists.

It reads as more careful than a broad claim, which is exactly the impression a property with an informed guest base wants to make.

The test of a claim

Could you produce the document that supports this sentence, for this delivery, if somebody asked next year? If not, the sentence needs narrowing rather than the document needing finding.

What to send with an enquiry
